In summary, the Services comprise: Services from an experienced Exhibition Space Organiser to provide end-to-end project and production management for the Innovation Spotlight as the Exhibition Space at the International AI Summit 2026 at the Royal Dublin Society (RDS), working in close collaboration with the Department of Enterprise, Tourism and Employment, the RDS, vendors, and relevant co-hosts and stakeholders. The successful tenderer will also be expected to engage with the chosen exhibitors and to ensure that the branding, look and feel and user experience is consistent with the overall International AI Summit Branding and strategic objectives. NOTE: the event management services being sought in this RFQ are only for the Innovation Spotlight /Exhibition Space. The appointed Lead Event Manager will be responsible for designing and delivering the overall AI summit experience including planning, coordinating and delivering all pre-event, on-site and post-event services, including programme and production scheduling, venue and supplier management, delegate registration and stakeholder liaison, branding and communications support, sponsorship and budget oversight, and the delivery of associated conference elements. The AI Summit will consist of a full day conference with main stage key note addresses, plenary sessions, fireside chats, on-stage demonstrations with an accompanying Innovation Spotlight as an exhibition space providing networking opportunities throughout the day as well as hospitality from morning until evening. The Innovation Spotlight (Exhibition Space) will be hosted in Hall 1 and Hall 4 of the RDS with the plenary AI Summit in Hall 2.
